E-Invoice (MyInvois)

Fleetrix prepares Malaysian e-Invoices for submission to LHDN's MyInvois platform. Preparation does not submit anything to LHDN until an authorised user submits the document or batch.

1. Before setup

Prepare the following information for the tenant:

  • Legal taxpayer name exactly as registered with LHDN.
  • Issuer TIN.
  • SSM registration number.
  • SST registration number, when applicable.
  • MyInvois client ID and client secret for the selected environment.
  • A valid MyInvois signing certificate and its password for production submission.

For a sole proprietorship or enterprise, confirm that the business registration and TIN are linked to the proprietor's MyTax profile. The verified taxpayer details are returned by MyInvois after a successful connection test; they are not manually entered in Fleetrix.

2. Configure the connection

Open Profile -> E-Invoice Setup.

  1. Enable e-Invoice preparation.
  2. Select Test Environment while configuring and testing.
  3. Enter the issuer TIN and issuer registration number.
  4. Enter the MyInvois client ID and client secret.
  5. Select Test Connection.
  6. Confirm that Verified taxpayer details shows the official taxpayer name, TIN, and registration number.
  7. Save the settings.

Do not use production credentials in the test environment. Keep the client secret private and rotate it in MyInvois if it has been exposed.

3. Signing certificate

Production UBL 1.1 submissions require a valid signing certificate containing the issuer identity. Upload the certificate from the E-Invoice Setup page under UBL 1.1 digital signature.

The certificate must be a usable PKCS#12 file (.p12 or .pfx) containing the private key. Fleetrix validates the certificate, private-key match, validity period, Malaysian country code, issuer TIN, registration number, and signing permissions before accepting it.

Certificate guidance and providers may be found at POS Digicert's e-Invoice certificate guide. Confirm current requirements with LHDN/MyInvois before purchasing or renewing a certificate.

Fleetrix stores the certificate and private key encrypted. The private key is never displayed after upload. Certificate expiry notifications are sent to tenant administrators; renew the certificate before expiry and test the replacement in the test environment first.

4. Readiness checks

Use the e-Invoice readiness or diagnostic action before switching to production. The checks cover:

  • e-Invoice preparation enabled;
  • issuer TIN and registration number present;
  • MyInvois credentials configured;
  • successful connection and verified taxpayer details;
  • valid signing certificate;
  • production certificate profile compliance;
  • queue/worker readiness for background submission and status refresh.

Resolve every blocking item before go-live. A warning may still require review even when submission is technically allowed.

5. Prepare and submit an invoice

  1. Generate the customer invoice from an eligible order.
  2. Open E-Invoices and choose Prepare.
  3. Review supplier, customer, tax, totals, currency, and document lines.
  4. Correct missing master data and prepare the document again.
  5. Submit an individual invoice or select multiple prepared invoices and submit a batch.
  6. Monitor the submission status and open the validation metadata when MyInvois returns a result.

Fleetrix records submission events, validation status, UUID, QR/verification information, and delivery state. A failed submission can be retried after the cause is corrected. Do not create a duplicate invoice solely because a submission is still pending.

6. Consolidated and self-billed e-Invoices

  • Use E-Invoices -> Consolidations for eligible transactions that are reported as a consolidated document. Review included items before submission.
  • Use E-Invoices -> Self-Billed only when the transaction meets the applicable self-billed rules and the supplier/customer data is complete.
  • Keep the supporting invoice, order, and approval records for audit purposes.

7. Test-to-production checklist

Before selecting Production:

  • Complete at least one successful test-environment connection and submission.
  • Confirm the verified taxpayer details match the legal entity.
  • Install and validate the production signing certificate.
  • Confirm the production client credentials belong to the correct taxpayer.
  • Run the Fleetrix e-Invoice go-live check.
  • Confirm the queue worker and scheduled status refresh are running.
  • Confirm administrators receive certificate-expiry and submission-failure alerts.

8. Troubleshooting

IssueCheck
Official taxpayer name is blankRecheck MyInvois credentials, environment, and the taxpayer's MyTax/LHDN registration link. Run Test Connection again.
Certificate rejectedConfirm the password, PKCS#12 contents, private-key match, validity dates, TIN, and registration number.

Submission is rejectedOpen validation metadata, correct the reported master-data or tax issue, then retry the same submission.
Production readiness is blockedRun the diagnostic again and resolve each blocking check; do not bypass certificate or identity validation.

9. Security and audit rules

  • Never share MyInvois client secrets or certificate passwords in chat, email, screenshots, or source control.
  • Limit E-Invoice Setup and submission permissions to authorised finance/admin users.
  • Keep audit events and MyInvois validation metadata with the related invoice.
  • Use test environment credentials for development and production credentials only for live submissions.
